1. The service
Paperless Pool provides web-based pool check-in, lifeguard logs, dashboards, reports, and printable signs (the “Service”) to HOAs and pool management companies (“Customer”). Residents use the check-in page under their HOA’s pool rules.
2. Not a compliance guarantee
The Service helps Customers keep and find records. It does not guarantee compliance with any law, rule, or inspection, and it is not legal, health, or pool-operation advice. Default chemical ranges and test schedules are configurable conveniences. Customers and their certified pool operators are responsible for what their pools must do and record. Customers should keep a paper fallback for outages.
3. No automatic access decisions
The Service may flag a check-in for the lifeguard. It does not suspend or deny anyone’s access. Those decisions belong to the HOA and must follow the HOA’s procedures and applicable law.
4. Customer responsibilities
- Provide accurate pool, resident-address, and staff information, and have the right to share it with us.
- Tell staff not to enter children’s names or sensitive details in free-text fields.
- Keep accounts and devices secure, and tell us about suspected misuse.
5. Data
Customer data belongs to the Customer. We use it only to provide and secure the Service, as described in the Privacy policy. Customers can export their data (CSV). TODO: export and deletion terms on termination.
6. Fees and pilots
Seasonal license fees are set in the order form or invoice. Pilot (free) seasons are offered at our discretion with no obligation to buy. TODO: payment terms, taxes, refunds, renewal.
7. Availability
We work to keep the Service available but don’t promise uninterrupted or error-free operation. TODO: support hours and any service commitments.
8. Acceptable use
No unlawful use, no attempts to break security, and no uploading of content you don’t have rights to.
9. Disclaimers and limitation of liability
